Speaker-Moderator-Participation-Agreement

This Speaker Agreement (“Agreement”) is entered into between the Centre for Intellectual Excellence (CeFIE Canada), host of the World Diversity in Leadership (WODIL) Conference (hereinafter referred to as “the Organizer”), and the undersigned speaker (hereinafter referred to as “the Speaker”).


1. Purpose

This Agreement outlines the terms and conditions under which the Speaker will participate in the WODIL Conference or any related event organized by CeFIE Canada.


2. Speaker Participation

The Speaker agrees to:

  • Deliver the presentation, panel contribution, or workshop as agreed upon with the Organizer.
  • Submit presentation materials, biographies, and any required information by the deadlines communicated.
  • Participate in promotional activities (e.g., interviews, posts, short videos) if requested, to enhance event visibility.

3. Travel and Accommodation

  • The Speaker shall be responsible for arranging and covering their own airfare and related travel expenses.
  • The Organizer will provide up to two (2) nights of hotel accommodation, reimbursed post-event at a standard rate.
  • Reimbursements will be processed within thirty (30) to sixty (60) days after the event, upon submission of original receipts and a completed reimbursement form.
  • Local transportation (within the event city limits) and meals at the event venue will be provided where applicable.


4. Reimbursement Policy

  • Reimbursements are limited to eligible, pre-approved expenses directly related to participation (e.g., accommodation, ground transportation).
  • All receipts must be submitted within 15 days after the event to qualify for reimbursement.
  • Reimbursement payments will be issued by CeFIE Canada within 30–60 days post-event via electronic transfer.


5. Confidentiality

The Speaker acknowledges that they may have access to confidential or proprietary information relating to CeFIE Canada, the WODIL Conference, its partners, sponsors, or participants. The Speaker agrees to:

  • Maintain the confidentiality of all non-public information obtained during or after the event;
  • Not disclose, reproduce, or share such information with any third party without prior written consent from the Organizer; and
  • Use any confidential information solely for the purpose of preparing for and participating in the event.

This obligation of confidentiality shall remain in effect for two (2) years following the conclusion of the event.


6. Intellectual Property

  • The Speaker retains ownership of their original presentation materials.
  • The Speaker grants CeFIE Canada a non-exclusive, royalty-free license to record, reproduce, and distribute their presentation (in whole or in part) for educational and promotional purposes, with appropriate credit given.


7. Code of Conduct

Speakers are expected to uphold CeFIE’s values of respect, inclusivity, and professionalism. Any discriminatory, offensive, or harmful conduct may result in withdrawal of participation privileges.


8. Cancellation

In the event the Speaker is unable to attend, they must provide written notice at least two (2) weeks prior to the event. The Organizer reserves the right to adjust the program as necessary.


9. Agreement Acceptance

By signing below, the Speaker acknowledges that they have read, understood, and agree to comply with the terms of this Agreement.
